Hiding customer information from staff

Protecting customers’ confidential information is critical to your business. This page explains what information is revealed to employees depending on their user role and steps you can take to ensure your customers’ contact information is safe and secure.

Reservationists customer profile views

Users with the Reservationist role have almost full access to customer profiles.

A Reservationist user can view:

  • First and last name
  • Contact information
  • Details
  • Notes (and ability to add notes)
  • Order History
  • Appointment History
  • Billing Information
  • Photos
  • Membership Status
  • Customer fields that are Editable or Read Only to Reservationists (set in Customer Fields > New Customer Field > Access Control)

Staff customer profile views

Users with the Staff role have limited access to customer profiles.

A staff user can view:

  • First and last name
  • Main profile photo
  • Appointment history
  • Product purchases (but not specific orders)
  • Notes (and ability to add notes)
  • Customer fields that are Editable or Read Only to Staff (set in Customer Fields > New Customer Field > Access Control)

A Staff user will never view:

  • Contact information (email address, phone number, street address)
  • Billing information
  • Orders
  • Any information from the Details tab
  • Marketing Mail
  • Membership details

User Manager customer profile views

Users with the User Manager role have almost full access to customer profiles. They can view all information except the Membership tab.

Reporting user role

Since some reports contain customer contact information, you may wish to hide them from users with Reporting permissions so they cannot extract customer contact information from the system.

To hide reports from Reporting users:

  1. Go to System Settings then Logins.
  2. Find the login in the list and click Location next to Reports.

  3. Uncheck any report to deny access. Reports containing customer contact information include the Customers Report and Customers Email Report.
  4. Click Save.
