Selecting the right user roles

Every employee at your location should have a GolfNow One login. Not everyone should have full access to your system, so it’s a smart idea to give user roles to each login based on each employee’s needs and responsibilities.

Every user role has default capabilities plus additional optional permissions that can be enabled to grant access to additional features.

Many of these roles can be combined for employees with multiple responsibilities. For example, Reservationists can have Reporting permissions.

User Role Function / capability Give this user role to…
Admin The most powerful user level available with access to every area of GolfNow One and System Settings. Business owners, directors, managers, or anyone else who manages all aspects of your business or GolfNow One account.
Reporting Users with Reporting permissions can generate and print reports in the Reports tab. This is an add-on user role that can be granted alone or combined with other roles. Admins can limit the reports a user can access. Business owners, managers, accountants, bookkeepers, and anyone else who needs to access at least one report in the system.
Reservationist The Reservationist role is the default role for anyone who manages your tee sheet or places orders.Reservationists can book appointments, view customer information, and place orders. Pro Shop staff, Food & Beverage staff, anyone who manages your tee sheet, anyone who checks out customers, and anyone who manages your customer database.
Staff The Staff user role is a low-level login that can be combined with other permissions. Users with the Staff role do not have access to point of sale and have limited access to customer contact information. Employees who perform services or clock in and out or should have limited access to customer contact information.
Marketing Marketing users are the people who manage the promotional and branding aspects of your business. The optional permissions for the Marketing role grant access to different pages within the Marketing tab. This is an add-on user role that can be granted alone or combined with other roles. Anyone who creates and manages specials, gift certificates, customer emails, or loyalty rewards programs.
Products Product users are the people who manage your inventory of products. The Products role grants access to the Products tab. The optional permissions for the Product role grant access to different pages within the Products tab.This is add-on user role that can be granted alone or combined with other roles. Anyone who manages your inventory, generates purchase orders, and interacts with vendors.
User Manager User Managers have access to all Reservationist permissions, plus the ability to create and edit employees and logins. Mid-level directors and managers, Human Resources, or anyone who manages hiring and onboarding.
