How to use ETS gift card interface

In this tutorial, you will learn how to issue, add value, and redeem gift cards

GolfNow Reservations interfaces with credit card processor gift card systems. Once gift cards are purchased from your credit card processor, set up a gift card account. To assign a dollar value to a gift card, swipe the gift card in the Shopping Cart. To redeem a card, swipe the card in the Payment screen. To display the gift card balance, swipe the gift card at any other screen. The interface requires an account with a gift card provider, a constant Internet connection to all machines posting gift card transactions, and MAGTEK Swipe Reader to swipe the gift card.


Create Gift Card Sales Item

At least one gift card sales item must be set up before a gift card can be issued. Set up a gift card with a changeable amount or one with a fixed amount or any combination desired.

  1. Create an item category of Gift Card.
    NOTE: See How to Setup Report Structure.
  2. Create a sales item named ‘Gift Card – Issued’ as a non-inventory sales item with Gift Card checkbox checked, a retail price of $9,999.99 and a maximum discount of 100%. Alternatively, set a minimum price (i.e. $20.00) to fit your facility’s gift card policy.
  3. Create another sales item named ‘Gift Card – Add Value’ as a non-inventory sales item with Gift Card checkbox checked, a retail price of $9,999.99 and a maximum discount of 100% or your facility’s minimum price policy.
  4. Alternatively or in addition, create Gift Card $50, Gift Card $100, etc. non-inventory sales items with Gift Card checkbox checked, $50, $100, etc. retail price respectively and no maximum discount. Creating fixed priced items enables display of gift cards with price labels ahead of time.

  1. From Processor | Facility, click Gift Cards. Select items to use to for Issue Gift Card and Add Value.

Gift Card Transactions

General Inquiries

GNR 2015: To retrieve the balance of a gift card select the Get Balance button in the Processor tab. To retrieve the gift card number, select the Get Number button in the Processor tab.

Adding Value/Issue Gift Cards

To add value or issue a gift card, select one of the Gift Card entry type buttons in the Shopping Cart.

  1. Home | Shopping Cart
  2. Click the Swipe Gift Card button (2015 and newer) or Manual Gift Card button.

If the Gift Card has not been issued, the Gift Card – Issued sales item will automatically load in the Shopping Cart.

If the Gift Card has been issued, the balance is displayed asking if you want to add value. To automatically load the Gift Card – Add Value sales item into the Shopping Cart, select Yes.

Payment Using Gift Cards

  1. Home | Shopping Cart.
  2. Select the items to be sold.
  3. Click the Pay button to go to the Payment screen.
  4. Click Gift Card.
  5. Adjust the gift card tender to the desired amount.

Because the Gift Card number needs to be retrieved before we can process the card, select Click To Get Gift # to get the Gift Card number.

The ETS swipe screen is displayed and you can swipe a gift card now.

Once the Gift Card number is retrieved the Payment Screen is updated with the card information and balance. Select Click To Process to process the card.

Now that the Gift Card is processed, select Post to complete the transaction in GolfNow Reservations.


Troubleshooting

Gift Card Value Limit

ETS by default has a Gift Card value limit of $500 per card. To increase this limit, contact ETS by calling 800-834-7790.

In the event that you try to issue or increase the value of the gift card over your limit, you will need to take the following steps to rectify the transaction.

Scenario: We are trying to increase the value of a gift card to $5000. The account we are using is unknowingly setup with a $2500 limit. In the shopping cart, a gift card is swiped and the ‘Gift Card – Add Value’ item appears and $5000 is entered as the Unit Price. The transaction is then tendered to Check.

When the OK button is clicked, the transaction is completed and a receipt prints. Notice that the ‘Gift Card – Add Value’ item is removed from the receipt. The transaction is posted as $5000 tendered to Check, and $5000 to Change. This means that your check amount has increased and cash has decreased by $5000 each.

To fix the issue, split the transaction into multiple gift cards. Since the limit is $2500 per card, issue two cards for $2500 each. Also, since the previous transaction resulted in $5000 in Change, tender this transaction to Cash.

The transaction successfully issued a total of $5000 worth of gift cards, and balanced the drawer from the first transaction. If it is common for your facility to be issuing gift cards over your default limit, contact ETS ask to have your gift card limit increased.
