Using the Wait List

The Wait List is used when tee times are fully booked for the day, and there are players who want to wait for time slots that might become available. Players or groups entered on the Wait List are displayed according to the time they were entered (earliest to latest) so that time slots can be given on a first-come-first-served basis. A Wait List is maintained only for the current day. Wait lists for future dates are called Cancellation Lists, and are discussed in the next section.

Viewing Today’s Wait List

  1. With today’s Tee Sheet displayed, on the View tab on the right-hand side of the page, click Wait List. The quick-view Wait List appears in the upper-right corner of the page.
  2. In the quick-view Wait List, click Edit. The Wait List: Today appears in a pop-up window. The Wait List displays information such as golfer name, number of holes and course preferred, time the Wait List request was entered, location where the player or party is waiting, Wait List status, and payment status. The list is sorted by the time the Wait List request was entered (from earliest to latest).
  3. You can sort the list as follows:
    • Select the course from the Course dropdown list to display the Wait List for that particular course. Select <All> to display the Wait Lists for all courses.
    • Select the customer Wait List status from the Status dropdown list to filter the list to display. You can select “Waiting”, “Removed”, “Reserved”, or <All>.
  4. Click the Exit button to close the window and return to the Tee Sheet.

Adding a Customer to Today’s Wait List

  1. With today’s Tee Sheet displayed, on the View tab on the right-hand side of the page, click Wait List. The quick-view Wait List appears in the upper-right corner of the page.
  2. In the quick-view Wait List, click Edit. The Wait List: Today appears in a pop-up window.
  3. In the right frame, fill in the following fields:
    1. Last Name: Enter the customer’s first name.
    2. First Name: Enter the customer’s last name.
    3. Phone: Enter the customer’s phone number.
    4. Course: Select from the dropdown list the course to Wait List for.
    5. Holes: Select from the dropdown list the number of holes of play to Wait List for. Values are “9 Holes”, “18 Holes”, or “Either”.
    6. Players: Enter the number of golfers to include in this Wait List record. All the players in a party can be included in one Wait List record, up to a maximum of 6 players.
    7. Location: Select from the dropdown list the location where the customer or party will be staying while waiting for a tee time to open.
    8. Notes: Enter any additional notes to include in the Wait List record.
  4. If this is a new customer (not already in the database), click Add New to add the customer to the database.
  5. Click the Add button to add the customer to the Wait List.
  6. To pre-pay for Wait Listed customers (if permitted), under the Paid column, click Pay to launch the POS page. After payment, a $ appears to indicate that the customer has paid.
  7. Click Exit to close the window and return to the Tee Sheet.

Managing Today’s Wait List

  1. With today’s Tee Sheet displayed, on the View tab on the right-hand side of the page, click Wait List. The quick-view Wait List appears in the upper-right corner of the page.
  2. In the quick-view Wait List, click Edit. The Wait List: Today appears in a pop-up window.
  3. You can sort the list as follows:
    • Select the course from the Course dropdown list to display the Wait List for that particular course. Select <All> to display the Wait Lists for all courses.
    • Select the customer Wait List status from the Status dropdown list to filter the list to display. You can select “Waiting”, “Removed”, “Reserved”, or <All>.
  4. Under the Name column, click a customer name to display the customer’s record in the frame at right.
  5. You can do the following:
    • To pre-pay for Wait Listed customers (if permitted), under the Paid column, click Pay to launch the POS page. After payment, a $ appears to indicate that the customer has paid.
    • To remove a customer who has been booked or will be booked, use the Status dropdown list to change the customer’s Wait List status from “Waiting” to “Reserved”, then click Update. The customer’s Status is updated on the Wait List.
    • To remove a customer from the Wait List for any reason (except being booked), use the Status dropdown list to change the customer’s Wait List status from “Waiting” to “Removed”, then click Update. The customer’s Status is updated on the Wait List.
  6. Click the Exit button to close the window and return to the Tee Sheet.

Using the Wait List (Future)

The Wait List (Future) is used to manage customers who want to play at a future date where there are no tee time slots available. Players or groups entered on the Wait List (Future) are displayed according to the date and time they were entered (earliest to latest) so that so that time slots can be given on a first-come-first-served basis. Customers who are listed in a Wait List (Future) for a date that becomes current (today’s date) are not transferred to the Wait List for the current day.

Viewing the Wait List (Future)

  1. With a Tee Sheet for a future date displayed, on the View tab on the right-hand side of the page, click Wait List. The quick-view Wait List appears in the upper-right corner of the page.
  2. In the quick-view Wait List, click Edit. The Wait List: [Date] appears in a pop-up window. The cancellation list displays information such as status, player name, number of holes and course preferred, earliest, ideal, and latest time slot to book, and date and time the cancellation list request was entered. The list is sorted by the date and time the cancellation request was entered (from earliest to latest).
  3. You can do the following:
    • Select the course from the Course dropdown list, or select <All>, and then click View.
    • To view the Wait List for a different date, click in the Date field to open a pop-up calendar and select a different date.
    • Select the customer Wait List status from the Status dropdown list to filter the list to display. You can select “Waiting”, “Removed”, “Reserved”, or <All>, and then click View.
  4. Click Exit to close the window and return to the Tee Sheet.

Adding a Customer to the Cancellation List

  1. With a Tee Sheet for a future date displayed, on the View tab on the right-hand side of the page, click Wait List. The quick-view Wait List appears in the upper-right corner of the page.
  2. In the quick-view Wait List, click Edit. The Wait List: [Date] appears in a pop-up window. The cancellation list displays information such as status, player name, number of holes and course preferred, earliest, ideal, and latest time slot to book, and date and time the cancellation list request was entered. The list is sorted by the date and time the cancellation request was entered (from earliest to latest).
  3. In the frame at right, fill in the following fields:
    1. Last Name: Enter the customer’s first name.
    2. First Name: Enter the customer’s last name.
    3. Phone: Enter the customer’s phone number.
    4. Date: The default date displayed corresponds to the Tee Sheet date you are viewing. To select a different date, click in the Date field to open a pop-up calendar and select a date.
    5. Course: Select from the dropdown list the course to Wait List for.
    6. Holes: Select from the dropdown list the number of holes of play to Wait List for. Values are “9 Holes”, “18 Holes”, or “Either”.
    7. Players: Enter the number of golfers to include in this Wait List record. All the players in a party can be included in one Wait List record, up to a maximum of 6 players.
    8. Early Time: Select from the dropdown list the earliest time to book for the player or party should a time slot become available. Time slots earlier than the specified time will not be booked if they become available.
    9. Late Time: Select from the dropdown list the latest time to book for the player or party should a time slot become available. Time slots later than the specified time will not be booked if they become available.
    10. Notes: Enter any additional notes to include in the Wait List record.
  4. Click Add to add the customer to the Wait List.
  5. Click Exit to close the window and return to the Tee Sheet.

Managing the Cancellation List

  4. Under the Name column, click a customer name to display the customer’s record in the frame at right.
  5. To remove a customer who has been booked or will be booked, change the customer’s Wait List Status from “Waiting” to “Reserved” from the dropdown list, then click Update.
  6. To remove a customer from the cancellation list for any reason (except being booked), change the customer’s status from “Waiting” to “Removed” in the Status dropdown list, then click Update.
  7. Click Exit to close the window and return to the Tee Sheet.
